  • Overview

    The Scheduler performs scheduling, service verification, clerical support, assignment completion and assistance to the Scheduling Manager with daily operations.


    • Works in collaboration with Home Care Coordinators/Visiting Nurse Coordinators/ Nursing Supervisors to obtain the schedule of the visits for professional staff at the Start of Care and at the re-certification time.
    • Responsible to print the schedule along with treatment order (485 form) and submit to the receptionist for mailing twice a week.
    • Responsible to receive weekly schedule of projected visits from professional staff.
    • Responsible for verification and reconciliation of the visits by the professional staff upon receiving vouchers from the staff in the Interactive Scheduler.
    • Responsible for data entry of all authorized, projected home care visits in Interactive Scheduler.
    • Responds to the phone call from the field clinician regarding changes in the schedule and notifies Home Care Coordinators/Visiting Nurse Coordinator/Nursing Supervisors.
    • Works collaboratively with nursing staff to ensure services are provided accurately and on a timely basis.
    • Creates a personal profile for professional staff in McKesson.
    • Generates a modeling calendar for professional staff in the Interactive Scheduler
    • Responsible for placement of Rehabilitative Services, Medical Social Worker and Nutritionist through the vendor based on request from clinical staff.
    • Responsible to fax request for the service along with treatment order to assigned vendor
    • Communicates to Home Care Coordinators/Nursing Supervisors/designee expected start of care date for Rehabilitative service, name of the therapist and vendor agency.
    • Responsible to maintain log for referral for Rehabilitative services.
    • Communicates any changes in professional staff schedule to the Home Care Coordinator/Nursing Supervisor/designee.
    • Verifies and reconciles assignment completion of professional services in the Interactive Scheduler.
    • Upon reconciliation of the professional services provided, responsible to generate batches for submission to Finance Department.
    • Reports any issues with McKesson software to Scheduling Manager.
    • Maintains accurate record keeping in a confidential manner, as per agency policies and procedures.
    • Notifies Scheduler Manager of obstacles to job performance.
    • Demonstrates sound judgment by taking appropriate actions regarding suspected violation of corporate compliance regulations.
    • Reports all suspected violations to supervisor, Compliance Officer or Compliance Hotline.
    • Observes client’s rights and confidentiality in accordance with HIPAA compliance.
    • Performs other duties as required.


    • High school diploma or equivalent. Some college preferred.
    • Minimum of two years working in a busy environment using the telephone, fax, computers, scheduling modules and filing.
    • Ability to handle multiple clerical tasks simultaneously and stay organized.
    • Computer literate, proficiency in scheduling systems.
    • Strong communication skills and ability to communicate effectively with healthcare professionals.
